Five Years, Zero Logistics Disputes: How a Small Trading Team Keeps Cargo Moving

Here is something we do not talk about often, but probably should.

Last month, BearCross quietly marked five years without a single logistics-related dispute involving lost goods or major delays on completed orders. The record applies to all shipments arranged by the team since early 2021 — including sea freight to Europe, air freight to Australia, and rail freight to Central Asia.

For a small trading team that does not own any warehouses or operate its own trucks, this is not a coincidence. It is the result of a set of habits we have built over time, often through trial and error.

Here is what we have learned.

Choose the right logistics partners, not the cheapest ones. In the beginning, like many small trading teams, we tried to save money by working with the lowest-cost freight forwarders we could find. That did not end well. Packages went missing. Delivery dates slipped without explanation. And when something went wrong, no one answered the phone. Over time, we developed a shortlist of forwarders we trust — not because they are the cheapest, but because they communicate proactively and handle problems when they arise.

Document everything. This sounds obvious, but it is surprising how many disputes start with incomplete paperwork. For every shipment we arrange, we keep digital copies of the commercial invoice, packing list, bill of lading, and any special instructions from the client. When a client asks, “Where is my order?” we can usually answer within five minutes.

Track shipments manually, not just through automated systems. We use tracking portals like everyone else. But we also check in with our forwarders at key milestones: when the cargo is loaded, when it clears customs, and when it arrives at the destination port. This extra step has caught several potential issues early — before they turned into real problems.

Set realistic expectations from the start. We never promise delivery in 10 days if we know it will take 15. Under-promising and over-delivering has saved us more headaches than any fancy logistics software ever could.

Does this mean every shipment we arrange goes perfectly? No. Sometimes weather delays happen. Customs clearance takes longer than expected. A ship reroutes due to port congestion. But when an issue does occur, we are usually the first to find out — and the first to tell the client.

Five years may not sound like a long time. But in the world of cross-border trade, where a single mistake can cost a client thousands of dollars, it is a record we take seriously.
